Status of Account Details
If an account detail has a status of Closed, it will not appear in the list of account details when the account is retrieved for entering an authorization . If all of the account details are closed for a Control or Global Control account , the account will not be retrieved.
A quarterly Maximum Draw Amount can be designated for any account. Additionally, the agency can allow any portion of the Maximum Draw Amount not used from the prior quarter to carry forward to the next quarter for up to a year. If the agency wants to allow this “Rollover” feature, a Rollover Reset Quarter must be designated, otherwise, the Maximum Draw Amount will reset to zero at the beginning of every quarter. The Rollover Reset Quarter defaults to ‘None’ that does not allow the carryover feature. It is advisable that global and global control accounts have Maximum Draw Amounts set in order to comply with proper cash management regulations.
When Changing Status Keep These Restrictions in Mind
If the current cycle date is greater than the Account End Date, then Account Status can only be Suspended (S), or Closed (C).
If today's date is earlier than or equal to the Account End Date
and after the Performance Period End Date, then the Account Status can only be Liquidated (L), Suspended (S), or Closed (C),
and before the Performance Period End Date, then the Account Status can only be Open (O), Suspended (S), or Closed (C),
and the Performance Period End Date is blank, then the Account Status can only be Open (O), Suspended (S), or Closed (C),
The 'Close' account status is available only when an account has a zero balance, no pending or warehoused payments, no pending ACH credits and no uncertified or automated renewal authorizations.
If the status of a Control or Global Control Account is changed from Suspended or Closed to Open, at least one Detail associated with that account must also be changed to Open. Otherwise, you will be unable to make a payment request on this account. Conversely, a Control or Global Control Account cannot be changed to Suspended or Closed with one or more detail accounts Open.
When Entering Treasury Account Symbols
If ASAP will not accept a Treasury Account Symbol, to determine why this is a problem, you can perform a TAS/BETC inquiry to identify the acceptable symbols.
TAS/BETC Distribution Method
Percentage by Account and Percentage by Detail are the available TAS/BETC Distribution Methods available to ASAP accounts. Percentage by Accounts allows up to 100 TAS/BETCs to be defined on an account. The percentages assigned to all TAS’ must total 100%. Percentage by Detail (Sub Account) allows only one TAS/BETC to be defined per Account Detail (up to 300) for a Control or Global Control account.
Limited Options for Changing TAS/BETC Distribution Method
Once an account has been assigned a TAS/BETC distribution method (confirmation received), the only option to change it is to close the account and start over. When selecting the TAS distribution method on Step 2 Continued, it can be changed prior to clicking 'Submit' on Step 3.
